CONTRACT DATA FOR EXHIBITORS

Each artist has the option of booking a maximum of 2 tables!

In addition to your exhibitor ticket, a helper ticket is included!

Each additional Helper ticket costs 30€!

One table costs 248€
Dimensions: (1.70 x 70 cm)
Two chairs included!
Each additional chair: 15€

Payment

Payment for your stand and any extras booked is made in € /Euro to the organizer’s account stated on the invoice. If payment is not received within the specified period, your table will be passed on to the next artist on the waiting list.

Costs

There are no fixed costs for a stand at upcoming events. By participating in the Naoki-Con you agree to pay the costs of your stand within the specified period.

Payment deadline

After you have received the email with the exhibitor invoice, the payment deadline is 14 days. If something comes up or you need more time, this should be discussed with the organizer. If the amount is not transferred within the specified period and without prior agreement, this will be considered as a withdrawal of your application and will automatically lead to exclusion from the application phase.

Withdrawal

After receipt of payment, you will receive a place at the Naoki-Con as an exhibitor! You can withdraw up to 01.06.25 before the convention. The full table price will be refunded! After that, a refund of the table costs is no longer possible.

If you are unable to attend the day of the convention due to illness, we will also no longer be able to refund the table costs.

If you are unable to attend, you can also give the table to another artist, but this must be agreed with the convention organization ([email protected]) beforehand! Artists who take over a table without prior agreement will be expelled from the convention grounds.

ARRIVAL

Those arriving by car can park in the large car park behind the hall! This is for every artist & Dealers free of charge!

Please make sure that you don’t block anyone’s parking space and keep enough distance so that everyone can get in and out and load and unload their car!

If you have any problems, please contact the Naoki-Con team!

You enter the hall via the back entrance.

As soon as you arrive, the staff on site will assign you your place and give you your wristbands. From then on you can start setting up!

The back entrance will be closed at 10:30 a.m. and from then on will only serve as an emergency exit.

SETUP

You have time on Friday, August 12th from 3:00 p.m. to 11:00 p.m. to set up your stands. If you haven’t finished by then or are still missing something, you can still set up on Saturday from 8:00 a.m. to 10:00 a.m. The trade fair starts at 10:00 a.m. on Saturday. By then, the paths must be cleared for visitors!

The set-up will take place according to the hall plan.
If there are any problems, please contact the helpers on site!

DISASSEMBLY

On Sunday you have from 6:00 p.m. to 00:00 a.m. to dismantle your stands and leave the hall. In exceptional cases, prior dismantling must be agreed with the staff on site.

In the event of late assembly and dismantling (without agreement), we reserve the right to charge a fine of €1000.

ARTISTS’ BOOTHS

Booths

The tables and booths will not be moved or changed without the agreement of the organization team! If necessary, the organization team will dismantle or move structures that block escape routes or emergency exits.

Please make sure that your stands do not exceed the size of the table and/or could be an obstacle for visitors. It is also important that the aisles are clear and that there are no partitions over the tables!

Photo tripods are not permitted for artists who are not standing against the walls, as these pose a tripping hazard and can quickly tip over. This also applies to stand-up banners!

Artists who have their table at the edge or are standing against the wall are welcome to use banners as long as they do not block the way or become a tripping hazard.

Stand security

Make sure you do not leave your stand unattended. We are not liable for stolen goods and it would be a real shame! Please refrain from making things like political statements etc. in your products as we are a politically neutral event.

For the safety of all of us, please ensure that the materials for your stand are not easily flammable. We also ask that you only use tablecloths that are flame-retardant according to fire protection category B1 for flammable building materials.

Open fires such as candles, sparklers etc. are prohibited for this reason, even though they would certainly be nice!

ART & PRINTS

If you offer things like modeled works, jewelry, decorations, accessories, clothing and other handcrafted or handmade items, you fall into the category of our dealers and will be positioned there! Important to know, as the upcoming trade fair will be structured a little differently!

Exhibitors who offer drawn prints, buttons, stickers, pendants and so on will go in the artist corner.

PLAGIATE – KI/AI ART – DROPSHIPPING

Works by exhibitors that stand out in this category and violate the rules should first be removed from the stand at the request of the organization team. If they are then seen again or the exhibitor refuses, argues, etc., they will be expelled from the exhibition grounds and also excluded from future Naoki conventions. The stand rental fee will not be refunded under these circumstances. The suspicion of plagiarism alone can lead to a ban on sales.

Plagiarism & Dropshipping

Anyone who is found to have plagiarized (traced, stolen, copied) works will be asked to remove them from the stand. If there is suspicion that purchased products (such as pins, charms, stickers, etc.) that were purchased on platforms such as Ali-Express, Wish or Temu are being resold at the convention, the rules on purchasing counterfeits come into force and, in serious cases, the exhibitor will be expelled from the convention and excluded from future trade fairs.

AI/ AI “Art”

AI and AI-generated works have no place at our convention! If there is reasonable suspicion that AI-generated works are being exhibited, the rules on plagiarism come into effect.

Fanart

The sale of fanart with or without a license is the responsibility of the exhibitor. Naoki-Con assumes no responsibility for the sale of fanart. Fanart is not an exclusion criterion.

Protection of minors

As our event is family-friendly, we ask you not to exhibit your +18 prints and to censor nudity! If we find uncensored works, the artist will receive a warning. The exhibitor is also responsible for ensuring that the customer is of legal age. (ID check)

FOOD & SUPPLIES

Of course you are allowed to bring your own food, but please refrain from bringing strong smelling food, as you will all be sitting in one place for a long time and some people have sensitive noses. Bringing food for commercial purposes is not allowed. Don’t forget your water! Hydration is important!

Distributing food to and from visitors is not permitted! Please do not accept food from strangers! Unfortunately, you never know whether there might be something dangerous in it…

RULES OF CONDUCT

Emergencies

If an emergency such as a fire or similar occurs, the building must be left without further delay. Only then should the necessary emergency services be contacted independently. Please make sure that you stay calm, don’t run into anyone, protect each other and keep an eye on younger people as well as older people.

Behavior

The display of obscene gestures or actions is prohibited at the convention, this also applies to the products on offer. This also includes “Ahegao”. Please keep it family-friendly.

Stand cleanliness

Keep your space clean and take your rubbish with you out of respect for the staff and the personnel who have to clean up after the con.

Disputes & Behavior with One Another

We ask that disputes between artists be settled outside of the con. If there are any problems, please let the organization team know! Insults, bullying and the like have no place at the Naoki-Con and artists who have attracted negative attention or violate the rules will be expelled from the con or banned from future conventions!

And last but not least

Please take care of each other! If you see that visitors or your stand neighbors are not feeling well for any reason, please let the staff on site know!
